What is a press conference?

A press conference is a gathering at which an organization presents news to several journalists at once, with room for questions. The instrument is reserved for news big enough to justify the turnout: a crisis, a major announcement, or a public figure. For ordinary company news, a press release is almost always more effective.

How it works in practice

The bar is high: journalists only travel when the news is big enough and offers something a press release cannot, such as the chance to press for answers, capture footage, or speak to the key people. Hold a press conference for small news and a half-empty room damages your reputation more than no press conference at all.

If the news does carry it, prepare tightly: one clear core message, a practiced spokesperson, a press kit with facts and images, and time for one-on-one conversations afterwards. Invite through your media list, plan around the deadlines of the attending outlets, and send the press release right after the event to everyone who was not there.

Example

A Chattanooga vehicle plant announces a partnership with a major leasing company and a new production line, worth hundreds of jobs in the region. Given the regional impact and the mayor's attendance, the company holds a press conference on the factory floor, with a tour and photo moment. Regional and national media turn up for what they cannot get at their desks: the story on location.

Common mistake

Calling a press conference because the news feels big to you. Test it with a few journalists in your network: would they come? When in doubt, a press release with an interview offer is the safer route.

Frequently asked questions

When do you hold a press conference?

Only for news where attendance pays off: a crisis with heavy media demand, an announcement with major public or regional impact, or a moment with strong visuals and interviews on location.

What is the difference between a press conference and a press release?

A press release informs journalists in writing and at scale; a press conference brings them together, in person or online, for a presentation plus questions. The release is the standard instrument, the conference the exception for major news.
